Step By Step Guide to Backup Mailbox data to Another File Format or Email Client

Step 1: Install and Run Tool

Start the SysInfo Mail Migration Tool on your system as an administrator.

Step 2: Select Option

The software provides you with two options: File Formats and Email Clients. You can choose one as required.

Step 3: Select File Format

By default, the file format option is selected. Now, to convert PST to PDF, select PST.

Step 4: Start PST Converter

The PST Converter Tool window opens. Here, click Continue to start and upload files.

Step 5: File Adding Options

Click on Select Files/Select Folder to browse and add PST files to the tool.

Step 6: Add PST File

Choose the desired PST Files from the system. You can add multiple PST files at a time. Click Open.

Step 7: Other File Options

Once, PST files are added, click Next to proceed. Or, if you want to remove it, click on the Remove or Remove All button.

Step 8: Preview and Select Files

In the next panel, expand the tree hierarchy of added PST files and preview PST file content. Select only those folders that you want to migrate. Click Next.

Step 9: Select Saving Format

Expand the list of File Formats and select PDF as the destination file format.

Step 10: Apply Filters

Further, choose the required filters from the tool to apply to the output file.

  • Remove Duplicate Mail on the basis of To, From, Subject, Bcc, & Body: Use it to exclude similar emails from the mailbox.
  • Save in Same: Utilize this to keep the destination and source folders for the email same.
  • Maintain Folder Hierarchy: Use this option to retain the original folder structure of the mailbox.

Step 11: Select Attachment Filter

Now, you get three filters for the attachments, however, you can only choose any one:

  • Save Attachment Separately: Use this option to save the attachments in a different folder from other data.
  • Migrate or Backup Emails without Attachments: To exclude attachments and save only the email data from the mailbox.
  • Convert Attachments to PDF: To save the attachments of the mailbox in PDF format.

Step 12: Date Filter

Use this Date Filter option to perform specific migration of emails for a particular period. Input the start and end date and click Add.

Step 13: Other Features

You can also choose any of the below options if required:

  • Naming Convention: Utilize it to select a criteria for the name of the new file.
  • Custom Folder Name: Use it to give a unique name to the new file manually.

Step 14: Specify Destination

Afterward, click Path to Save to specify a location of your choice to save the output file.

Step 15: Convert PST to PDF

Lastly, click Convert to initiate the PST to PDF conversion on your system.

Step 16: Download Report

Once the process completes, click OK and hit Download Report to view the detailed conversion report.

Follow steps 1 to 8 as in Convert PST to PDF and then continue with the below-mentioned steps to import:

Step 9: Select Saving Client

Now, click Email Clients and choose Gmail from the drop-down menu to save.

Step 10: Sign In Gmail

Now, click Modern Authentication, enter your Email ID, and press the Sign In button.

You will be redirected to the browser to authenticate. Complete it and a message will be shown as follows:

Further, choose the required filters from the tool to apply to the output file.

Step 14: Import PST to Gmail

Lastly, click Convert to initiate the PST to Gmail conversion on your system.

Once the process completes, click OK and hit Download Report to view the detailed conversion report.

Choose Gmail from the left panel, enter Gmail credentials to migrate into PST Format, and click on the Sign In button.

You can now see all the Gmail files, folders, and subfolders. Select all the files you want to convert and click the Next button.

Click on the Save in File Format option and select PST from the drop-down menu.

Step 7: Remove Duplicates

Choose the Skip Duplicate Email(s) feature to remove duplicate emails based on To, From, Subject, and Body.

Step 8: Apply Features

Other options, you can opt for, include:

  • Split PST: Select to break large resultant PST files into smaller PSTs according to the preferred size based on MB or GB.
  • Migrate or Backup Emails Without Attachment Files: You can exclude the transfer of attachment files using this option.
  • Free Up Server Space: By selecting this feature, you can delete emails from the server permanently after completing the migration.

Step 9: Use Date Filter

Check the Date Filter checkbox to apply the date range migration of emails. Set Start and End Dates. Only emails between those specified dates will be migrated.

Step 10: Continue Process

Click on the Next button to continue the conversion of emails into PST format.

To save the resultant PST file to your desired location, click on the Save Path button.

Further, click on the Download button to begin the transfer of emails into PST format.

Lastly, click on the OK button to complete the process of converting Gmail into PST.

Now, select AOL from the left panel, enter AOL credentials like Email Address and password, and click the Sigin button.

You can now see all the Gmail files, folders, and subfolders. Select all the files you want to convert and click the Next button.

Select Email Format as Gmail to migrate AOL emails. Enter Gmail credentials. Click on the Sign In button.

Lastly, click Next to check the destination for saving your AOL emails and proceed to convert.

Once checked and applied filters, hit Download to initiate the AOL to Gmail conversion.

Lastly, click on the OK button to complete the migration of AOL to Gmail. Also, view the conversion report by hitting the Log Screen button.
